This article explains the guidelines on how to set up the prerequisite and quick steps on how to use the performance module through the OrangeHRM before going live with the entire organization.
OrangeHRM Starter supports the top-down approach of employee Performance Reviews. A top-down review involves a supervisor formally meeting with the supervisee to discuss mistakes and insights and provide constructive feedback. While this conversation occurs in-person with the employee, the OrangeHRM Performance Module helps you to organize the KPIs (Key Performance Indicators), share your evaluations and track your progress over the years.
In order to effectively create a performance review form for an employee, there are a few prerequisites that you must meet.
- Employee must be assigned with the Job Title. Go to employee profile (PIM > Employee List> Employee Profile > Job Details) and ensure that employee is assigned with a Job Title.
- Employee needs to be reporting to a supervisor. Go to employee profile (PIM > Employee List> Employee Profile > Report To) and ensure that employee is assigned to a supervisor. His/her supervisor will be responsible to complete the performance review.
- Verify that KPIs have been assigned to the employee's designated Job Title. The KPIs associated to the job title will be used to evaluate employees with the same job title. To see if a job title has KPIs assigned to it, navigate to Performance > Configure > KPI and filter the KPI list by the employee's job title. Make sure to create at least one KPI if there aren't any for the job title so that when you next create a Performance review, it will show up on the evaluation form. However, New KPIs will not be available in already created or past performance reviews and they will remain intact.
Create Key Performance Indicators (KPIs)
To create KPIs, go to Performance > Configure > KPIs and click on the Add Button.
Complete the Add KPI form providing the following information.
Key Performance Indicator |
Name of the Key Performance Indicator. This is a required field. |
Job Title |
From the dropdown list, choose the appropriate Job Title. This field is also required. When Performance Reviews are created, employees with this job title shall have the KPI will be available in their reviews as a performance evaluation metric. |
Minimum Rating |
Enter the minimum value of your rating scale |
Maximum Rating |
Enter the maximum value of your rating scale |
Make Default Scale |
When you create subsequent KPIs, you may reuse this rating scale by toggling this field as enabled. |
Drafting a Performance Review
Go to Performance > Manage Reviews and select Manage Reviews from the dropdown menu.
Click on the Add button to create a Review and provide the following information.
Employee Name |
Name of the employee being reviewed |
Supervisor Reviewer |
The only reviewer who may be added to an employee's review is their supervisor. If the employee has many supervisors, choose one of their names to serve as the reviewer. |
Review Period Start Date |
The review period is the period of which the employee's continued employment is assessed and discussed. This might be done yearly, twice a year, or any other acceptable timeframe depending on your company's practices. Select the start date of the review period in this field. |
Review Period End Date |
Select the end date of the review period in this field. |
Due Date |
The review due date is the supervisor/admin needs to complete the employee’s review. |
You can “Save” the review as a draft where you can revisit and make any further changes to the review before activating. Saved Drafts can be accessed from the same “Manage Reviews” page and the review status of such appraisals shall be indicated as “Inactive”. Click on the edit icon to update the drafted review.
Activating the Review
After providing the necessary information required, you can activate the review. Once activated, the review will be open for both the employee to complete their self-assessment and the supervisor to provide a supervisor evaluation.
Activated Reviews are accessible for employees (Review Owners) via Performance > Manage Reviews > My Reviews. Supervisors can view their subordinates’ reviews via Performance > Manage Reviews > Employee Reviews. Admin users shall be able to view all reviews created in the performance module via the same location as well.
